Application Questions

Who needs to apply?

Each person over the age of 18 who will reside in the property.

What needs to be completed?

The rental application must be filled out in its entirety.  Make sure that the second page is signed and dated before you submit it.

What is the application fee?

The application fee is $10 per adult that is going to be living at the property (each adult needs to fill out an application).  It costs us $10 to process the application, so we just passed the fee on.

How can I submit the application?

You can download/print the application from here.  After you have completed the application, there are a number of ways to get it to us:

– E-mail it to [email protected]
– Bring it to our office at 519 Pile, Clovis, NM

If you faxed or e-mailed the application, make sure to get on our pay rent online page and pay the application fee that goes along with it.

If you pay with the same name that is on the application, we will know it is from you.  You should then hear from us within 24 hours on the result of your application.

What if there is more than one application turned in?

If we have more than one application on a rental home, we will process them in the order that we receive them.  The first qualified applicant will be given the choice to put the deposit down to secure the property.  If they cannot put the deposit down within a reasonable period of time, we will move on to the next applicants until we have a qualified applicant who has put the deposit down on the home.

If we are processing an application and there is information missing (no landlord references, no SSN, etc.), we will move on to the next application that we have available.  Therefore, make sure you completely fill out the application.  Also, if we have indication that you are hiding information, being untruthful, or deliberately putting down wrong information, we will move to the next available applications.

If we get a qualified application and the deposit on the property, this means that the property is now secured, and all the applicants that weren’t processed will receive their application fee back.

If the first qualified applicant has not put the deposit down in a reasonable time period, we will allow the next qualified applicant to put down a deposit.  However, if the first qualified applicant comes up with the deposit at any time prior to other qualified applicants, the property will be secured by the one who put the deposit down.  Therefore, just because you are a qualified applicant doesn’t mean that you will get the home.  You have to be qualified and put down the deposit to secure the home.

Having more than one application on a property is always a tricky situation, and we want to make it as fair as possible.

Forms Questions

Form Questions

Who can use the forms provided?

The forms on the tenant resources page are meant for our tenants only.  Many of them are forms that you can print out and submit to us for specific situations (application, 30-day notice to vacate, etc.), while others are used for reference only (lease, etc.).  If you have any questions about these forms, please contact us for more details.

How can I submit a form?

If you need to submit a form that we have provided, you can do so in a number of different ways:

Many of the forms have fields that you can input your information without having to print it out.  If there is an area that needs a signature though, you will need to input your signature and not just type it in.  If you use a computer program to draw a signature, that is fine.

What is the Residents Notice of Intent to Vacate?

The Residents Notice of Intent to Vacate is the form that we require a tenant to fill out in order to give us notice that they are moving.  Once a tenant’s lease has expired, they are renewed on a month-to-month basis.  This requires that they give 30 days written notice in order to vacate.  This is the form that formally gives us a 30-day notice.

Payment Questions

Payment Questions

When is my rent due and where can I pay the rent?

Rent is due on the 1st of each month.  We will give you until the 5th to pay without incurring late fees.  On the start of the 6th day, there is a 10% late fee and we will post a 3-day notice of non-payment of rent on your door.

What are acceptable forms of rent payment?

Acceptable forms of rent payment are Online, personal checks (from a tenant), Cashier’s Checks, Money Orders, or Cash.  We prefer online payments if possible.  If you pay by check, make sure that you include the address in the memo.  If you pay cash, make sure to put the money in an envelope with the address included.

What is a 3-Day Notice of Non-Payment of Rent?

If you have not paid rent by the 6th day of the month, you will receive a 3-Day Notice of Non-Payment of Rent.  This is an official court notice that demands rent be paid within three days of the notice, or it gives us the ability to start court procedures for eviction.  On the 10th of the month, if we have still not received the total rent due on your property, we will start eviction procedures.  If you know you are going to be late on your payment, let us know as soon as possible.

How do I make a request for a maintenance problem?

All maintenance requests must be made through a maintenance request.

You can submit a Maintenance Request online.

You can print the Maintenance Request Form and deliver to our office.

You can visit our offices and fill out a Maintenance Request Form.

How long should I plan to wait to hear back from someone regarding a maintenance problem?

In a non-emergency situation, please allow three days. If you have not heard from our office in five days, please contact us.  Many times we are able to respond and issue a work order within the same day that we are notified.

Do I need approval to paint or change something in the home I am renting?

Any and all changes or modifications to the property must be requested in writing for approval before any changes are made.

What am I responsible for maintaining in my home?

You are responsible for maintaining HVAC filters and fresh smoke detector batteries at all times. This may mean changing the HVAC filter at least every other month or more frequently as needed. Light bulbs that are easily accessible also need to be maintained by the residents. In most situations, yard maintenance may be required. Please refer to your individual residential lease.

Lease Questions

How long is the lease?

We typically offer 6-month leases.  After your lease has expired, it renews on a month-to-month basis.  The rest of your lease still remains in effect, but you are now capable of leaving with a 30-day notice to vacate.

Do I need Renter’s Insurance?

As Tenants / Renters you are not homeowners, but you still have exposure to many of the same types of losses. That is why there is a special type of homeowner’s insurance called tenant’s or renter’s insurance. Landlord’s / Owner’s insurance does not cover tenant for personal loss or liability.

First and foremost, tenants should be aware their personal property is not covered by the landlord’s insurance policy. Tenants are responsible for obtaining insurance for their personal property if they want to be covered in the event of fire, theft, or other type of loss.

What do I do if I need to move out?

It is required that you provide 30 days notice in writing. The Notice to Vacate must be received in the office 30 days before the end of the month (typically by the 1st). You can e-mail this notice, mail it, or drop it off at our office through the dropbox. You may also fax your notice to (575) 616-7028.

What happens if I need to move before the end of my lease?

Please refer to your copy of your residential lease. Contact your property manager as soon as possible to discuss this situation in detail.

Can I use my security deposit as the last month’s rent?

No. The security deposit cannot be used towards last month’s rent. Your security deposit is used for any property damage that you may incur. The remaining balance will be refunded to you.

When can I expect my security deposit to be returned?

The security deposit will be refunded minus any charges within 30 days from the end of the lease.
